To modify or cancel a reservation or make a new reservation (reservations will be made based on availability and hotels may charge higher rates) at any ASHP hotel, please contact the hotel directly. The Housing Connection
ASHP is using The Housing Connection, the only official ASHP Housing Company, to coordinate hotel reservations for the meeting. Now more than ever we need for all exhibitors and sponsors participating in the meeting to make their hotel reservations through The Housing Connection. By doing so, you will be:
- Provided with an immediate email acknowledgement of your hotel assignment (for individual reservations);
- Guaranteed that you made a reservation at an “official” ASHP hotel at an official ASHP rate;
- Entitled to unlimited and complimentary shuttle transportation for 5 days;
- In receipt of important meeting related materials in your hotel room (door drops);
- Entered into valuable prize drawings (unless you choose to opt out, see below);
- Entitled to receive reduced rates at official meeting hotels;
- And much more!
When exhibitors and sponsors reserve rooms at hotels that are NOT within our official hotel block:
- ASHP Is exposed to penalties for not fulfilling our room block commitments;
- ASHP risks our ability to rebook preferred meeting hotels and receive reduced rates;
- ASHP could possibly lose qualification for the amount of space needed at the convention center;
- There is significant disruption to transportation services when others use the buses, since shuttle buses are planned according to the number of rooms reserved through the ASHP Housing Company.

ASHP has worked to provide exhibitors with a wide selection of quality hotels at competitive rates in Las Vegas. Shuttle bus service will be provided from all official Midyear Meeting hotels to the Venetian Hotels and Sands Expo Center, Sunday, December 6 through Thursday, December 10. A detailed shuttle schedule will be available in October.
Important Exhibitor Deadlines
- October 1 - A complete rooming list with names must be submitted for all blocks held. Any rooms not reserved will be released. Requests for additional rooms will be based on availability. Cancellations after October 1, 2009 will be subject to a $50.00 cancellation processing fee, per reservation.
- November 2 - The final cut off date to make a hotel reservation or reserve a room block is November 2 at 6:00pm Mountain Standard Time (MST) or until the group block is sold out, whichever occurs first. After this date, reservations will be made based on availability and hotels may charge higher rates.
Reminder: Exhibit Hall hours! Monday and Tuesday, 11:00am - 3:00pm and Wednesday, 11:00am - 2:00pm.
Exhibit Hotel Room Block Policies
Over-blocking of exhibitor rooms in the past has caused hotels to prematurely sell out thus displacing attendees. In addition, the increased number of last minute cancellations has caused financial penalties to ASHP. Therefore, ASHP has established the following policies:
- Hotel room blocks are for qualified exhibitors or sponsors only. Qualified exhibitors or sponsors must have submitted a contract for exhibit space or sponsorship prior to requesting hotel rooms.
- All blocks requested must be based on the exhibit or sponsor company's final pick up from the previous year with no greater than a 5% increase. (If needed, contact Michelle Tyler at mtyler@ashp.org or Fran Byrnes at fbyrnes@ashp.org for assistance with your hotel room block flow).
- All blocks are subject to ASHP approval.
- Exhibitors and sponsors MUST book all hotel rooms through The Housing Connection, the official ASHP housing company for the meeting. (An audit will take place with our official hotels following the meeting. Any company found to have blocked rooms in hotels other than those listed as ASHP official hotels or to have booked rooms directly with ASHP official hotels without using The Housing Connection will be subject to loss of priority points and/or exhibit and meeting space.)
Hotel Guarantee, Confirmation, and Cancellation Polices

IMPORTANT ALERT: It has come to our attention that rogue/pirate housing companies have been approaching ASHP members and exhibitors offering hotel reservations. These companies are in no way affiliated with ASHP, the Midyear, The Housing Connection, or the Las Vegas Convention and Visitors Association. Reservations processed by these rogue/pirate housing companies may not be made at official Midyear hotels and/or may not actually be secured/guaranteed at a Las Vegas hotel. The Housing Connection is the ONLY official housing company for the meeting and will not contact you directly to make a reservation.
Shuttle Service
ASHP has worked to provide Midyear registrants with a wide selection of quality hotels at competitive rates in Las Vegas. Shuttle bus service will be provided from all official Midyear Meeting hotels to the Venetian Hotels and Sands Expo Center (except for the Wynn as it is walking distance to the Venetian Hotels and Sands Expo Center), Sunday, December 6 through Thursday, December 10.
